Registration Details

When to Register
Registration for all of our programs is available online.

For 2011-2012:

  • Registration for Fall begins August 30 at 3:00pm.
  • Registration for Spring dates begins October 5 at 3:00pm.


How Registration Works
Once registration opens, you can submit your reservation request by selecting the program your group will attend and then by clicking “Register Now.” You will be asked to submit up to five dates that would work for your field trip. We then process the requests in the order that they are received. Certain times of the year are very popular and fill up fast! If you have a very limited range of dates that you are available, it is best to register as early as possible.

How and When to Pay
Payment of a nonrefundable $50 deposit is due ten days after the date your reservation is confirmed by the HVEEP registrar. The deposit will be deducted from your total balance, and you will be sent a new statement.

Your total amount due will be indicated at the time of confirmation.

Final payment is due thirty days prior to your arrival, excepting only field trips scheduled for a date less than a month in the future. In this case, payment should be made immediately.  Please verify the exact amount due prior to sending your final check – any payment in excess of your current balance will be considered a donation.  Payment may be made online by credit card, or by a single check made out to “Hidden Villa.”

Making Changes to your Reservation
Once your reservation details have been confirmed, please notify us promptly of any significant changes to your reservation. If the number of attendees in your group decreases, you must notify us thirty days in advance to receive a corresponding adjustment in payment.  If the number of attendees in your group increases by more than five people, we cannot guarantee that we can accommodate you unless you check with us first.

Weather
We conduct tours “rain or shine” and provide rain ponchos as needed.  Should we determine that conditions on the ranch are unsafe, we will contact you on the morning of your tour.  Only tours that must be canceled by Hidden Villa will be refunded or rescheduled for a later date.

Refunds/Cancellations

Cancellations often result in financial losses for Hidden Villa. For tours canceled thirty days before the tour date, we will refund the payment after subtracting a $50 cancellation fee per class. We cannot refund any payments for cancellations made less than thirty days before the scheduled tour. We also cannot grant refunds for absentee attendees.

Scholarships
If your students qualify for the Federal Lunch Program, you may be eligible for one of our scholarships!  At least 25% of your students must be eligible for or participating in the Federal Lunch Program. Farm and Wilderness Exploration, Farm Focus,
Day in the Wild, Special Programs


2nd through 6th Grade

Program Capacity
Our Farm and Wilderness Exploration can accommodate up to 60 students. The students will typically spend the day exploring in small groups of no more than eight students.  We have found that the ratio of one adult chaperone for every eight children strikes a perfect balance: we benefit from much appreciated adult guidance, but are still able to focus on the kids. Therefore, we offer one  free adult admission for every eight children. For instance, a group of 60 students would qualify for up to eight free adults, or 1 free adult per small group. Additional adults will be charged the regular program fee.

Program Fees
September-February: $18 per student
March- May: $20 per student
The classroom presentation fee is based upon class size. The cost for one class is $125. The cost for two or more classes is $250.  A $25 surcharge is added for schools outside the counties of San Mateo, San Francisco, or Santa Clara.

Overnight and Farm Chores Program
The overnight program includes an opportunity for children to participate in farm chores in the afternoon, followed by a campfire-style evening program and night hike. Your group will then enjoy an overnight stay in our beautiful Hostel. Our Hostel can accommodate up to 35 total people.  (Larger groups can split across two consecutive nights.)

Overnight Program Fees

Year-round: $25 per child per night (includes program and accommodations)
Year-round: $13 per adult per night (accommodations only)

Farm Tours

Pre-K through 1st Grade

Program Capacity

Our Farm Tours can accommodate up to 60 students or a maximum of 82 total people. If you have a group that varies slightly from these numbers, please CONTACT US. We will divide the students into small groups of 10-15 to explore the farm.  Groups far exceeding these maximum limits may need to visit Hidden Villa on multiple days or register for both the 9:15 am and 11:00 am tours on a particular date.

Fees
September- November: $8 per person
December- February: $7 per person
March- May: $10 per person

Farm Tours are priced per participant. The number of adults you register should include the number of teachers planning on accompanying the trip. For every 15 children, you are entitled to 1 free adult registration. For instance, a group of 60 students includes four adults free of charge.
