Annual Fund & Development Manager

Description

Reporting to the Director of Development and Communications, the Annual Fund & Development Manager is a pivotal role within a lean, high-performing department. This position offers exposure to all facets of the organization's advancement efforts, including seasonal appeals, special events, donor relations, grant management, and general fundraising. This position reports directly to the Director of Development & Communications.

Due to the agile nature of our development team, the ideal candidate is someone who thrives when managing diverse responsibilities—ranging from database administration and proposal management to managing a mid-level donor portfolio and coordinating executive meetings. Key Responsibilities

Appeals & Campaigns

  • Campaign Management: Design, execute, and manage multi-channel fundraising strategies (print, digital, phone, and social media) focused on the acquisition, renewal, and retention of Annual Fund donors.
  • Project Coordination: Partner with external consultants, designers, printers, and mail houses to establish and maintain efficient workflows and timelines.
  • Data Segmentation: Oversee donor segmentation, establish appropriate ask-strings, coordinate follow-up outreach, and ensure prompt gift tracking and acknowledgment.
  • Analytics & Reporting: Track, compile, and analyze solicitation results to measure progress toward organizational goals and benchmarks.
  • Donor Insights: Oversee a biennial supporter connection survey to better understand donor demographics and interests.
  • Growth Strategies: Drive efforts to increase annual giving by analyzing constituent trends, identifying donor motivations, and leveraging new, creative fundraising channels.

Data & Administration

  • Database Management: Establish advanced proficiency in Salesforce; perform weekly reconciliation audits to ensure data integrity and consistency.
  • Process Improvement: Uphold, refine, and adapt development operations, processes, and standard operating procedures in conjunction with team members.
  • Grant Administration: Manage the administration, timelines, budgets, and reporting requirements for grants supporting the Annual Fund.
  • Donor Stewardship: Contribute to the gift acknowledgment process, ensuring all donations are accurately documented, tracked, and stewarded.
  • Team Support: Execute miscellaneous administrative tasks as assigned to support the broader Leadership Team.

Event Support

  • Event Execution: Provide comprehensive logistical support for 3–4 small-to-mid-sized special events annually.
  • Project Tracking: Create and oversee detailed master action plans and timelines for all events.
  • Guest Management: Collaborate with the Development Assistant to manage guest lists, invitations, and registrations and event follow up actions within the donor database.
  • Continuous Improvement: Proactively contribute creative solutions to elevate the guest experience and operational efficiency of each event.

Moves Management & Pipeline Development

  • Portfolio Management: Direct relationship management for a portfolio of approximately 30 mid-level donors, guiding them through the moves management cycle to deepen engagement and increase giving.
  • Prospect Strategy: Actively participate in regular prospect strategy and portfolio review sessions.
  • Pipeline Building: Analyze Annual Fund donor giving histories and philanthropic capacity to identify and build a pipeline for major and planned giving.
  • Industry Trends: Stay current on annual giving best practices, maximizing the use of data screening tools and resources to make strategic recommendations.
  • Donor Research: Conduct background research on current and prospective donors, compiling comprehensive briefings for executive leadership.

Candidate Qualifications

  • Experience: 5–7 years of fundraising or related advancement experience, preferably within an educational or environmental nonprofit organization.
  • Autonomy: Proven ability to exercise sound judgment, take initiative, and work effectively both independently and collaboratively.
  • Interpersonal Skills: Exceptional diplomacy, sincerity, and tact when engaging with the public, board members, and Hidden Villa supporters.
  • Organization: Highly organized and detail-oriented with a proven track record of creating efficient operational systems.
  • Project Management: Skilled at prioritizing multiple tasks simultaneously while consistently meeting strict deadlines.
  • Communication: Excellent written, verbal, and presentation skills, with a strong focus on donor-centric communication.
  • Technical Proficiency: Advanced proficiency in MS Office and Google Workspace; experience with donor databases required (Salesforce experience highly preferred).

  • Physical Requirements: Ability to lift up to 20 pounds occasionally to assist with event setup and collateral distribution.

Terms of Employment

This position is a full-time, exempt position with a hybrid work remote/onsite work option, in Los Altos Hills, CA. This position will be required to be onsite 3 days per week and more during high volume times. Workdays are Monday through Friday, with occasional weekend or evening work as required to support organization/board events. Salary for this position is $95,000 - $105,000/year, depending on experience. This position is fully benefitted, including paid time off, health insurance and retirement. Because Hidden Villa is a youth-serving organization, all applicants will be required to complete a background check and Live Scan fingerprinting before hire.
