Communications Coordinator

Description

Reporting to the Director of Development and Communications, as the Communications Coordinator, this position is a key part of a small, hard-working team with exposure to all aspects of the organization’s work. The role balances strategic development and day-to-day management of creative, goal-aligned content across all of Hidden Villa’s communication channels. Through elevated story telling, digital marketing, and print collateral this position actively champions Hidden Villa’s mission, vision, and values. Because communications is vital to the nonprofit ecosystem, the ideal candidate understands both the language of engagement and the ultimate goal of inspiring philanthropic support.

Key Responsibilities

Digital Marketing (Social Media, Newsletter, and Website) - 40%

  • Cross-Departmental Liaison: Source, coordinate, and schedule content across departments to promote Hidden Villa’s diverse program offerings, events, and services.
  • Newsletter Ownership: Lead the end-to-end process for creating, writing, and curating content for the monthly community newsletter.
  • Fundraising & Campaigns: Partner with the development team to design layouts and copy for electronic fundraising appeals, event invitations, and targeted donor segments.
  • Social Media Management: Oversee content creation, scheduling, and community management for Hidden Villa’s Facebook and Instagram accounts, ensuring mission-focused storytelling.
  • Website Maintenance: Assist in developing fresh web content and updating website pages to ensure information is accurate and engaging.
  • Brand Stewardship: Partner with the Director to ensure brand guidelines are upheld across all departments and all outward-facing channels.

Creative Media Content Development - 20%

  • Collateral Design: Graphic design flyers, digital assets, and marketing materials for onsite events and educational programs using Canva or Adobe Suite.
  • Asset Management: Curate, organize, and maintain the organization’s digital media and photo library.
  • Video Production: Film, script, and edit short-form video content to support ongoing communications, social media growth, and fundraising campaigns.

Event Support & Cross-Departmental Collaboration - 20%

  • Event Marketing & Execution: Work alongside the Development team to provide marketing and onsite logistics support for 3–4 small special events annually.
  • Donor Cultivation: Assist with the execution of year-end giving campaigns and donor stewardship initiatives.
  • Database & Administration: Support basic data tracking and performance related to digital engagement and communications outreach.
  • Perform other duties as assigned to support the collective goals of the team.

Candidate Qualifications

  • Experience: 2–3+ years of professional experience in communications, digital marketing, or public relations (nonprofit experience is a strong plus).
  • Storytelling & Tone: Proven ability to craft digital and print content in an engaging, inclusive, and culturally responsive tone that aligns with Hidden Villa's community norms.
  • Technical Proficiency: Professional experience with Canva (or Adobe Creative Cloud), WordPress, MS Office/Google Suite, and email marketing platforms (e.g., IContact). Familiarity with Salesforce or similar CRMs is highly preferred.
  • Project Management: Strong attention to detail, exceptional writing/editing skills, and the ability to manage multiple deadlines with agility, grace, and humor.
  • Autonomy & Collaboration: Ability to work independently with minimal supervision, while remaining a deeply collaborative, constructive team player.
  • Language Skills: Bilingual skills (English/Spanish/Mandarin or Cantonese) are a significant plus.
  • Mission Alignment: A strong, demonstrable commitment to diversity, equity, inclusion, and Hidden Villa's environmental and social justice values.
  • Physical Requirements: Ability to lift up to 20 pounds occasionally to assist with event setup and collateral distribution.

Terms of Employment

This position is a full-time, exempt position with a hybrid work remote/onsite work option, in Los Altos Hills, CA. This position will be required to be onsite 3 days per week and more during high volume times. Workdays are Monday through Friday, with occasional weekend or evening work as required to support organization/board events. Salary for this position is $75,000 - $80,000/year, depending on experience. This position is fully benefitted, including paid time off, health insurance and retirement. Because Hidden Villa is a youth-serving organization, all applicants will be required to complete a background check and Live Scan fingerprinting before hire.
