Description
The Volunteer and Community Engagement Coordinator is responsible for coordinating Hidden Villa’s volunteer program and providing community engagement throughout the year. This full-time position reports directly to the Donor and Community Engagement Manager and is housed within the Development (Fundraising) Department. This position is integral to our community, volunteer and donor engagement activities.
Key Responsibilities
Volunteer Coordination (60%)
- Oversee the process of onboarding volunteers into the organization, and connecting them to other relevant departments for further training
- Facilitate volunteer groups such as teen, group and corporate volunteers with opportunities primarily on the farm, property, trails and in the garden during the weekdays and Saturdays. Activities may include mulching with woodchips, weeding, turning compost, landscaping, trail maintenance, or administrative projects.
- Maintain regular communications with volunteers regarding updates, opportunities, and engagements
- Collaborate with departments to organize enrichment activities, appreciation events, and community-building opportunities for volunteers
- Communicate and collaborate across Hidden Villa departments to ensure volunteer needs and department needs are being met
- Partner with local colleges, universities, and high schools to create college-sponsored internships and volunteer opportunities
- Engage with local service-based nonprofit organizations to leverage shared mission and impact through volunteer opportunities
Community Engagement (20%)
- Represent the organization at volunteer fairs, farmers' markets, and other offsite community activities
- Maintain current and professional tabling materials and records for community engagement that adhere to Hidden Villa brand standards
- Identify and pursue recruitment strategies to maintain and grow our team of volunteers and marketing outlets for Hidden Villa programming and engagement opportunities
- Lead occasional farm tours or other educational programs for groups on weekdays or Saturdays
- Serve as an ambassador for Hidden Villa, welcoming groups and community members
- Work closely with Community Programs Manager and Coordinator to support weekend activities
Administrative and Donor Engagement (20%)
- Create communications materials for social media, newsletters, and other reporting about volunteers and community engagement work
- Update volunteer manuals and documents as needed
- Respond to volunteer inquiries in a timely manner and with professionalism
- Utilize database and other applications to track potential volunteers, maintain up-to-date volunteer hours, and engage with volunteer dashboard
- Assist with planning, setup and takedown of donor engagement events
Other Duties:
- Contribute to department and organizational strategic efforts
- Occasionally support organization-wide weekend or evening events
- Provide responsive, kind customer service to Hidden Villa program participants and guests
- Other duties as assigned
Candidate Qualifications
Desired Skills, Experience and Qualities
- 2-3 years work experience in customer service, coordinating volunteers, coordinating programs, or organizing events
- First-hand experience as a volunteer, preferred
- Proven experience with community engagement such as tabling at events or providing customer service
- Strong organizational and time management skills
- Experience with scheduling, tracking metrics, reporting, and managing databases
- Computer proficiency including email correspondence, document formatting and web-based applications; Google Workspace (docs, sheets) experience preferred
- Excellent communication skills
- Ability to work collaboratively in a nonprofit setting
- Personal commitment to the values of diversity, inclusion and social justice
- Must complete and pass a livescan background check
Physical Requirements
- Regular and consistent attendance and the ability to sit at a desk and/or work outdoors for at least eight (8) hours per day and five (5) days per week
- Physical ability to stand, reach, bend, kneel, stoop, climb, walk, hike uneven paths, crawl, push, pull, and lift items weighing up to 40 pounds

Terms of Employment
This is a full-time, non-exempt (hourly) position and is scheduled for 40 hours/week, Tuesday-Saturday with occasional evening work. The compensation for this position is $28.50 per hour. Some remote work is possible. This position is fully benefitted, including paid time off, health insurance and retirement. Because Hidden Villa is a youth-serving organization, all applicants will be required to complete a background check and Live Scan fingerprinting before hire. Due to the nature of Hidden Villa’s operations, work hours may vary.
